A certified printout from the register of births (until 31.12.2008: register of births) shows all the data that the registry office has entered in connection with the birth of a child in its area of responsibility. In the past, these entries were made in paper form in the so-called birth book. Since 01.01.2014, birth registers have only been kept electronically. During a transitional period from 01.01.2009 to 31.12.2013, it was still possible to keep the register in paper form.
You will therefore receive the certified register printout either as a
- a new printout from the electronic register (if electronic registration has already taken place at your registry office) or
- a copy or verbatim transcript of the birth entry from the register of births.
In addition to the birth details (including the time of birth and additional information about the parents), the printout also contains any changes entered later, such as adoption or a change of name.
The registry office may also provide you with the exact time (hour and minute) of your birth on request, without having to issue a certificate.
You will need the certified printout from the birth register, for example, when registering your intended marriage or, if necessary in individual cases, when applying for an identity card or passport.
For personal appearance:
- Valid identity card or passport (in the case of a written order, enclose a certified copy instead)
In the case of representation:
- Written power of attorney from the authorized person to whom the entry relates
- Valid identity card or passport of the authorized person
If necessary, proof of the authorized or legal interest must be provided.
A certified register printout can be issued to the following persons:
- Persons to whom the register entry relates
- Spouse and spouse
- Life partner (within the meaning of the Civil Partnership Act)
- Ancestors and descendants, such as parents, children, grandchildren,
- siblings, if they can credibly demonstrate a legitimate interest (a legitimate interest is deemed to exist if the interest, which may also be of an economic, scientific, family or other nature, is considered to be justified after consideration of the facts); it is sufficient to demonstrate credibility if the submitted interest in use appears probable and convincing
- other persons, including close relatives such as aunts and uncles, if they can credibly demonstrate a legal interest (a legal interest is deemed to exist if knowledge of the birth data is required to pursue rights or defend against claims), for example by submitting a letter from the probate court, a court judgment or an enforceable title.
- Applicants must be at least 16 years old
Applying in person
- Go to the registry office where the birth was registered.
- Present your valid identity card or passport to prove your identity.
- You usually pay the fee in advance when applying at the registry office.
Representation:
- A person you trust can order and collect the certified printout from the register of births on your behalf.
- In addition to a written power of attorney granted by you, your representative must present a valid identity card or passport.
Application by post or fax
- Send an informal letter to the relevant registry office with a request for a certified printout from the birth register.
- Depending on the city or municipality, you may also find application forms on the Internet.
- Your letter must contain the following information:
- Surname, first name
- Date and place of birth
- Surname, first name of parents
- if known: Registry office and notarization number
- Please enclose a certified copy of your valid identity card or passport with the letter.
- You will receive a notification of fees when the certificate is sent to you.
Sending by e-mail is not possible
The certified printout from the register of births replaces the former certificate of descent (abolished on 01.01.2009).
It is issued free of charge for statutory pension insurance purposes.
