Do you employ people who work with external X-ray equipment or external stray radiation sources and may be exposed to a dose higher than 1 mSv? Then you must report this to the competent authority, enclosing the necessary documents (notification).
If employees from your company work in other companies and may receive more than 1 mSv as an effective dose per calendar year from the interference emitters or X-ray equipment there, then the company is considered to be working in connection with third-party facilities in which X-ray equipment or interference emitters are operated.
As the sending company, you must notify the competent authority for radiation protection of the employment in the foreign facility. You also need a radiation protection officer with the appropriate expertise.
If you have a permit for employment requiring approval in third-party facilities or installations, no notification is required.

- A police clearance certificate of document type O (authority clearance certificate) must be applied for from the competent registration authorities for the person responsible for radiation protection (applicant or legal representative of the applicant in the case of legal entities) and for the radiation protection officer(s). - The written appointment of the radiation protection officer(s) by the person responsible for radiation protection, stating the internal decision-making area of the radiation protection officer(s) in the applicant's company.
- Proof of the radiation protection officer's specialist knowledge in radiation protection by submitting a certificate of specialist knowledge (specialist knowledge group R9/R10 (if S5 specialist knowledge is available, the RG module must also be completed)).
- A radiation protection instruction which, in addition to the instructions, ensures that the persons under supervision have the necessary knowledge of possible radiation hazards and the protective measures to be applied.
The radiation protection instructions must contain the following points in particular:
- The establishment of a plan for the organization of radiation protection, taking into account instruction, medical supervision, the maintenance of radiation passports and the use of the necessary dosimeters.
- The regulation of operating procedures essential for radiation protection.
- The regular functional testing and maintenance of equipment, systems and other devices that are essential for radiation protection, insofar as they are provided by the applicant, and the keeping of records of this.
An employee leasing agreement is another option, provided that appropriate regulations regarding radiation protection and the authority to issue instructions are stipulated therein.
