Application for the issue of civil status certificates in accordance with Section 55 of the Civil Status Act (Personenstandsgesetz / PStG, certified printout from the register of births)

A certified printout from the register of births (register of births) shows all the data that the registry office has entered in connection with the birth. You will receive the certificate, including any marginal notes, either as a

• a new printout from the electronic register (if already held by your registry office) or
• a copy or verbatim transcript of the birth entry from the register of births.

In addition to the birth details (including the time of birth and additional information about the parents), the printout also contains any subsequent changes, such as adoption or change of name.

• Identity card or passport (for written orders: certified copy)
• when applying for / collecting by a representative: written authorisation from the authorised person, their ID (original or certified copy) and their own ID
• proof of relationship, if applicable
• proof of legal interest, if applicable

The personal data in the civil status register is subject to data protection. Certified register printouts can therefore only be issued

• for persons to whom the entry relates

• spouses and civil partners
• civil partners (within the meaning of the LPartG),
• ancestors and descendants (such as children and grandchildren),
• siblings, if they can prove a legitimate interest.

Other persons, including close relatives such as aunts and uncles, will only receive a certificate if they can credibly demonstrate a legal interest (examples: Letter from the probate court, court judgement or enforceable title).

Note: Applicants must be at least 16 years old.

• notarised printout from the register of births (first copy): EUR 15,00
• if further copies are requested at the same time: EUR 7,00 each
• issue for statutory pension insurance: free of charge

Go to the registry office that notarised the birth

• present your identity card or passport for legitimisation.
• You usually pay the fee in advance when applying at the registry office.

Tip: A person you trust can order and collect the certificate for you; your representative will present their own and your identity card or passport (original or certified copy) in addition to a written power of attorney.

Application by post or fax

Send an informal letter to the relevant registry office requesting a certified printout from the register of births. Depending on the services offered by the city or municipality, you may also find application forms on the Internet.

• Your letter must contain the following information:
  • surname, first name
  • date and place of birth
  • surname, first name of parents
  • if known: Registry office and notarisation number
• Enclose a notarised copy of your identity card or passport with the letter
• You will usually receive a notification of fees when the certificate is sent to you. Some registry offices also demand the fee in advance. In these cases, the certificate will be sent to you once payment has been received.

The certified printout from the register of births replaces the former certificate of parentage (abolished on 1 January 2009).

The birth certificate and a certified printout from the register of births have the same evidential value; they only differ in terms of the scope of the personal details listed.
